Signing your I-9 I-9 requirements The Immigration Reform and Control Act of 1986 (IRCA) requires all new and rehired employees to establish eligibility for employment in the United States. Princeton University cannot pay you or allow you to work until this verification process has been completed. Please note that non-US citizens must have employment authorization covering their entire Princeton University appointment period in order to be able to work and be paid for the full appointment.You must fill out an Employment Eligibility Verification form (I-9 Form) in person within three days of your appointment start date. You will receive an email from HR detailing the process. HR usually offers on-campus verification of I-9 documents in the New South Building at the beginning of every school year. You must make an appointment to present your document(s). (The list of acceptable documents will be in the email you receive from HR.) Salary U.S. citizens Visitor, professional, faculty and administrative staff members are paid monthly on the last business day of the month. For those with 10-month appointments beginning in September, the first payment will be September 30. The month of December is an exception where paychecks go out around the 20th of the month. Salary and benefit information should be provided to you by HR a week or two before your start date, including direct deposit information. You can also access most of the information you will need on the MyHR website. Non-U.S. citizens/permanent residents Any non-U.S. citizen/permanent resident who is at our institution and receiving payments from Princeton is subject to tax withholding. If the individual is from a country that has a tax treaty exemption, then he/she must apply for the treaty and must have a U.S. issued Social Security Number (SSN) or Individual Taxpayer Identification Number ( ITIN). IRS Publication 901 contains information regarding tax treaties. If you want information about withholding, you can reference IRS Publication 515.U.S. tax law requires the University to withhold income tax on payments received in the United States. Medical Plans U.S. citizens This Medical Plan Information includes Visiting Fellows who are U.S. citizensVisiting Fellows with an appointment of at least 50% time or more for five months or more are eligible for coverage under a University medical plan. You will have 31 days from your appointment start date to elect medical plan coverage for yourself and/or your eligible dependents. If you do not make an election you will be defaulted into the High Deductible Plan with employee only coverage. Upon your arrival, the Human Resources Office will provide you with a package of benefits information. This package will contain detailed information regarding your medical plan options, monthly cost information, and instructions on how to enroll or waive the coverage. Therefore, Visiting Fellows on a J1-Visa are eligible to elect medical plan coverage, regardless of their duty time or length of appointment. The University provides three different options for medical plan coverage for J1-Visa holders. You will have 31 days from your appointment start date to elect coverage for yourself and/or your eligible dependents. If you do not make an election, you will be defaulted into the J1-Visa Plan with employee only coverage. Upon your arrival, the Human Resources Office will provide you with a package of benefits information. This package will contain detailed information regarding your medical plan options, monthly cost information, and instructions on how to enroll or waive the coverage. Paid time off Vacation, sick and personal days The University provides two vacation days a month, two personal days and eight sick days. CITP does not pay out on vacation days for any term or visiting appointment. Please make sure you use your paid days off before the end of your appointment period. Please note if you contribute to a retirement savings account, you will not be vested with the Princeton University contribution unless you work here at least 30 months. End of employment Moving on Please read this information about off-boarding when your appointment ends with CITP. You need to make sure your contact information is updated with HR for correct W-2 forwarding, and other important information like saving emails and Dropbox files. Fellows hired by the ODoF will have their email accounts end 28 days after their appointment end date. Please review the information under “DOF Researchers, Specialists, Librarians and Visiting Researchers” for more information. Employees hired by HR will have their email accounts end one day after their end date. You should review the information under “HR, Casual, Short Term Professionals & PPPL Staff.” Everyone will be removed from Slack at the end of their appointment period unless you have an ongoing project with a current CITP person. Further, if you were provided a Princeton laptop or a key to your office, please give the device and/or key directly to Laura or leave it on your desk at the end of your appointment period.
